1. Our AI Principles
We build and deploy AI features guided by the following core principles:
- Transparency: We clearly communicate when AI generates content on your behalf.
- Accuracy: We continuously improve the quality of AI outputs and always recommend review before submission.
- Privacy: We process only the data necessary to provide the service, and we never sell your data.
- User control: You decide what to submit, edit, and apply to. AI is a tool — you are always in control.
- Fairness: Our systems are designed not to discriminate on the basis of gender, race, age, religion, or disability.
- Accountability: We take responsibility for how our AI behaves and provide mechanisms to report issues.
2. How We Use AI
AI is used in the following areas of the platform:
- CV & Cover Letter Generation: GPT-4.1-mini analyzes your uploaded CV and the target job description to generate tailored content.
- Job Email Generation: AI drafts professional application, follow-up, thank-you, and inquiry emails.
- Job Matching & Scoring: AI scores job listings against your CV profile (0–100 match score) and explains the fit.
- CV Search Profile: AI analyzes your CV to extract relevant skills, keywords, and related job titles for auto-apply targeting.
- Mock Interview: AI generates role-specific interview questions and evaluates your responses.
- AI Photo Enhancement: Image AI transforms casual photos into professional headshots.
3. Accuracy and Hallucination
AI language models can generate plausible-sounding but inaccurate content (known as "hallucination"). This includes:
- Incorrect dates, companies, or job titles
- Skills or qualifications not present in your original CV
- Fabricated statistics or achievements
We strongly recommend reviewing all AI-generated content before submitting it to an employer. Submitting false information in a job application — even if AI-generated — is your responsibility and may have legal and professional consequences.
Our UI highlights that generated content is AI-produced and encourages editing. Auto-apply sends only content based on your explicitly saved reference CV and pre-approved templates.
4. Data Use and Privacy
- We do not use your personal data, CVs, or generated content to train AI models.
- Inputs to OpenAI's API are not used for model training under our enterprise agreement.
- Your CV content, job data, and generated documents are stored in Firebase (Google Cloud) under our account and are subject to our Privacy Policy.
- AI photo enhancement processes your photos temporarily and does not retain them beyond the generation session.
5. Auto-Apply Safeguards
The auto-apply feature sends job applications on your behalf. To protect users and employers, we have implemented the following safeguards:
- Opt-in only: Auto-apply is disabled by default. You must explicitly enable it and configure your preferences.
- Credit-gated: Each application consumes 1 credit, naturally limiting the volume of applications sent.
- Deduplication: We track all sent applications by URL and never apply to the same job twice.
- Job scoring filter: Only jobs above a configurable match score threshold are applied to.
- Industry exclusion: AI-generated exclusion lists prevent applications to unrelated industries.
- Transparent logging: Every auto-applied job is visible in your dashboard with full status history.
- Pause at any time: You can disable auto-apply instantly from the dashboard.
6. Content Moderation
We prohibit the use of zeroApply.ai AI features to generate content that:
- Is false, fabricated, or misleading about qualifications or experience.
- Discriminates against individuals or groups.
- Harasses, threatens, or defames any person or organization.
- Violates applicable laws, including employment and data protection laws.
- Infringes intellectual property rights.

7. Human Oversight
AI is a tool to assist you, not replace your judgment. Key design choices reflecting this:
- All AI-generated CVs and letters are editable before saving or sending.
- Auto-apply sends a copy of each application to your connected Gmail or inbox (as BCC or draft) so you remain informed.
- Match scores include a "Why" explanation so you can evaluate the AI's reasoning.
- You can reject or remove any auto-applied job from your tracker.
8. Third-Party AI Services
We currently use the following AI providers:
- OpenAI (gpt-4.1-mini, gpt-4o-mini): Document generation, job scoring, CV profile analysis, interview feedback.
- Image AI (photo enhancement): Processes uploaded photos to produce professional headshots; photos are not retained after generation.
Each provider operates under their own responsible AI and data use policies. We select providers whose policies align with our commitments to privacy and accuracy.
9. User Responsibilities
By using AI features on zeroApply.ai, you agree to:
- Review all AI-generated content for accuracy before submitting to employers.
- Ensure your uploaded CV information is truthful and up-to-date.
- Not use auto-apply to submit applications you have no genuine intent to pursue.
- Not attempt to manipulate the AI to produce deceptive or harmful content.
- Report any unexpected, harmful, or offensive AI outputs to support@zeroapply.ai.
10. Ongoing Commitments
We are committed to:
- Regular audits of AI output quality and bias indicators.
- Staying current with EU AI Act requirements and other applicable regulations.
- Publishing updates to this policy when our AI capabilities change significantly.
- Providing a clear channel for users to report AI-related concerns.
